Summary: how to use a free letter generator privately

A letter generator gives you a complete, correctly laid-out letter to edit instead of a blank page. To write a formal letter free and privately, choose a template above (Business Letter, Cover Letter, Resignation Letter, Complaint Letter, Thank You Letter or Recommendation Letter), enter your details, replace each [placeholder] and press Print / PDF, Word (.docx), Copy text or Text (.txt). The letter is assembled in your browser: nothing is uploaded or stored, and the Network tab of DevTools will show no request carrying your text.

The templates are starting points. They give you structure and sensible wording, but they do not know your contract, your country's rules or your relationship with the reader, so read the finished letter as if you had written it. The date is set from your device's clock when the page loads, and you can overwrite it.

Every field, including the subject, greeting and closing, can be edited. If you switch templates after changing text, the tool asks before it replaces your edits.

Features

  • Six complete templates with a clear structure and a bracketed placeholder wherever your own details belong.
  • Placeholder tracker. A box lists the bracketed items still left in any field (notes up to 80 characters; up to 12 shown, with the total).
  • Live preview in a serif letter layout: sender, date, recipient, subject, greeting, body, closing and name. Empty fields are omitted.
  • Four outputs: print or save as PDF, an editable Word file, copied text and a .txt file. The Word file has 1-inch margins, Times New Roman 12 pt and bold names and subject.
  • Plain editing. The body is ordinary text and an empty line starts a new paragraph, so nothing is locked to the template.
  • No account, no upload, and the Word file is built in your browser too.

The recommendation template repeats [Candidate Name] seven times across its subject and body. Instead of retyping it, paste the text into find and replace, change the name once and paste it back. To see what changed between two drafts, use the text diff tool.

How to Use the Letter Generator

  1. Under Template, click the letter you need.
  2. Fill in Sender (your name and address) and Recipient. Check the Date and the optional Subject.
  3. In Letter body, replace each [placeholder] and trim what does not apply. Keep each paragraph to one point.
  4. Adjust the Greeting and Closing so they match: a named greeting suits "Yours sincerely", an unnamed one suits "Yours faithfully".
  5. When the amber box has gone and a final read-through shows no [brackets], choose Print / PDF, Word (.docx), Copy text or Text (.txt).

A cover letter works best on one page. Paste the body into the word counter to check the length. Pair it with a CV from the resume builder, and print the envelope address with the label generator.

Who Can Use It

  • Job seekers and employees writing a cover letter or giving notice.
  • Customers putting a complaint in writing, with the facts, the remedy they want and a deadline.
  • Small business owners writing to suppliers, and following up with an invoice or a business card design.
  • Managers, teachers and mentors writing recommendations and thank-you notes. For a letter that goes out as an email, the email template builder makes the HTML version.

FAQs

Which letter templates are included?

Six: a business inquiry letter, a job application cover letter, a resignation letter, a complaint letter, a thank-you letter and a letter of recommendation. Each is a complete letter with the usual structure for its purpose. The parts you must supply are marked with square brackets, such as [Company] or [last working day].

How do I fill in the placeholders?

Replace every word in square brackets with your own details; the preview updates as you type. An amber box above the buttons lists the bracketed placeholders still left anywhere in the letter, with a count, so a stray [Position] is easy to spot. It tracks bracketed notes up to 80 characters long, so read the letter through once before sending: the two longest notes in the Complaint and Recommendation templates are not counted.

Can I download the letter as a Word document or PDF?

Yes. Word (.docx) downloads an editable document with 1-inch margins and Times New Roman 12 pt. For a PDF, click Print / PDF and choose Save as PDF as the printer; only the letter itself is printed, not the form or the page around it. You can also copy the plain text or download it as a .txt file.

What is the correct format for a formal letter?

The tool uses full block format, a standard business-letter layout in which everything is aligned to the left: your address, the date, the recipient, an optional subject line, the greeting, paragraphs separated by an empty line, the closing and your name. Leave a field empty and it is left out of the letter.

Should I end with "Yours sincerely" or "Yours faithfully"?

In British usage, end with "Yours sincerely" when you greet the reader by name (Dear Ms Smith) and "Yours faithfully" when you do not (Dear Sir or Madam). In American usage "Sincerely" works in both cases. "Kind regards" and "Best regards" are slightly less formal and suit people you already deal with.

Why does the subject line start with "Re:"?

In letters, Re: (from the Latin for "in the matter of") introduces what the letter is about, so the reader sees the topic before the greeting. The generator adds it for you in the preview, the printout, the Word file and the text file. Empty the Subject field and both the line and the Re: are left out.

Is my letter saved or uploaded?

No. The letter is assembled, printed and converted to Word in your browser, and nothing you type is sent to ZipConvert or stored. The Network tab in your browser DevTools will show no request carrying your text. Because nothing is saved, copy or download the letter before you close the page.
